How to complete a KYB company verification

This article explains how you can create a business entity for assessment on behalf of your client.

This article explains how to complete a Know Your Business (KYB) company verification on the VerifiMe platform using our assisted verification pathway, which assumes you already have the necessary KYB documents for your customers and their consent to share them with us. This process is for clients who prefer a lower-input onboarding experience, where the associated individuals complete their identity verification independently before the VerifiMe support team links them to the company entity.


Overview

The KYB verification process involves four actions on your end:

  1. Create the non-individual entity in the platform with the necessary entity documents (eg trust deed, company records)

  2. Send individual invitation links to associated persons

  3. Wait for each individual to complete their identity verification

  4. Update the shared spreadsheet with each individual's details and notify VerifiMe support

Before the process begins, VerifiMe support will create a spreadsheet and share it with you via a secure shared drive. You will use this to record the details of each individual as they complete their verification.

Once notified, the VerifiMe support team will handle the remaining steps and confirm when the verification is complete.


Step 1 – Create the company entity

Log in to your VerifiMe wallet that you would have set up as a client user. Once logged in you will see your personal identity card, you now need to create a new company entity by clicking on +set up new identity. Then select the entity type and start entering the required company details, including the company name and ACN or ABN.

You are responsible for ensuring the details entered are accurate.


Step 2 – Send invitation links to associated individuals

Once the entity has been created, generate individual invitation links for each person associated with the company who is required to complete identity verification. This may include directors, beneficial owners, or authorised signatories, depending on your verification requirements.

Send each person their unique invitation link that is available in your VerifiMe Client Management portal or you may have set up an outbound communication for this already. Each individual will complete the verification process independently.


Step 3 – Individuals complete identity verification

Each invited individual follows the link and completes the standard VerifiMe identity verification process. This step is completed by the individuals themselves and does not require any further action from you at this stage.


Step 4 – Update the shared spreadsheet and notify VerifiMe support

As each individual completes their verification, update the spreadsheet shared with you by VerifiMe support with the following details:

  • Entity Name

  • Full name

  • Email address used to complete identity verification

  • Role (e.g. director, beneficial owner, authorised signatory)

Once all individuals have been added to the spreadsheet, email [email protected] to let the support team know it is ready for processing.


What happens next

Once VerifiMe support receives your notification, we will:

  • Generate an ASIC extract for the company

  • Cross-reference the individuals you have provided against the extract

  • Add confirmed individuals as associates to the company entity in the platform

You will receive a confirmation email from the support team once the process is complete.
