Subject: Action Required – Identity Verification for [Matter Name]

Dear [Name],

I trust this email finds you well.

From 1 July 2026, where we provide 'designated services' that fall within the scope of the anti-money laundering and counter-terrorism financing (AML/CTF) legislation, we will be required to:

• Verify your identity

• Understand who we are acting for, including the beneficial ownership of any entities involved

• Assess the nature and purpose of the engagement

[The proposed engagement] falls within the scope of those designated services.

Therefore, to ensure that we continue delivering a high-quality, efficient service without unnecessary delays, we have introduced verification and client due diligence as part of our standard processes.

As we continue to act for you, we are required to:

• Verify your identity — we will do this electronically via a secure, government-accredited verification service specified below; and

• Collect additional information depending on the nature of the engagement or regulatory requirements (for example, source of funds or whether you or a close associate hold a senior public position).

We use VerifiMe to facilitate the identity verification process. VerifiMe is an approved Gateway Service Provider (GSP), a system overseen by the Attorney-General's Department. This means your identity documents are checked in real time against the issuing authority — the same infrastructure used by Government Departments.

As part of our own AML/CTF obligations, we have undertaken due diligence on VerifiMe as a third-party service provider and are satisfied they meet the required standards. Your verification will be conducted securely and in accordance with Australian privacy law.

For most clients, the electronic verification process takes only a few minutes and can be completed from your phone or computer.

Action Required

Please complete the verification process via the link below.

<Insert your organisation invite code here>

Important — please read before you begin:

Step 1 — Individual verification

The process will first verify you as an individual. Please work through all steps and complete the individual verification in full.

Step 2 — Business, trust or other entity verification

At the final step, you will be asked:

"Does [firm name] need you to verify your business or trust?"

• If you are engaging with us in a personal capacity only, select No and click Submit & Share.

• If you are engaging with us on behalf of a company, trust, SMSF, partnership or other organisation, select Yes and continue through the additional business/entity questions.

Note: If you have been asked to complete this process because you are a director, trustee, beneficiary or other party associated with an entity that another person has already registered, you may only need to complete the individual verification — not add the entity again. If you are unsure, please contact us before proceeding.

What to have on hand if completing entity verification:

Entity type

Documents required

Company

Company name, ACN/ABN, registered address

Trust

Trust deed and any amendment or variation deeds

SMSF

Trust deed and any amendment or variation deeds

Partnership

Partnership agreement

We recommend completing the entire process — individual and entity — in one sitting where possible. If you are interrupted, you can return to the process later, but having all documents ready in advance will avoid delays.

Once you have completed all steps, please ensure you click "Submit & Share" — this is the final action that sends your verified information to us for assessment. The process is not complete until this button has been pressed.

If you have any questions or encounter any issues, please do not hesitate to contact me.

Thanks in advance.
