Understanding Customer Invitations

What is the Customer Portal?

The Customer Portal is where your customers complete their identity verification process. When you invite customers, you're providing them with access to this secure portal where they can:

  • Upload their identification documents

  • Complete identity verification steps

  • Submit required information

  • Track their verification status

Your Unique Invite Link

Each client organization has a unique URL that links directly to your account in the VerifiMe system. When customers use your link or QR code, their verification is automatically associated with your organization, ensuring their information flows directly to you.

Accessing Your Invite Tools

Step 1: Log into the Management Portal

  1. Navigate to the VerifiMe Management Portal: https://client-portal.verifime.com

  2. Enter your login credentials

  3. Click Sign In

Step 2: Access the Invite Function

  1. Once logged in, locate the Invite New Customers button in the top right of the home screen

  2. Click Invite New Customers

Step 3: Choose Your Invite Method

You'll be presented with two options for inviting customers:

Option 1: Copy Link

  • Click Copy Link to copy your unique Customer Portal URL to your clipboard

  • This link is permanently tied to your Client Account

  • You can use this link in email communications, on your website, or in any digital format

Option 2: Download QR Code

  • Click Download QR code as image to save a QR code to your device

  • When scanned with a smartphone or tablet, the QR code directs customers to your Customer Portal

  • The QR code can be inserted into physical collateral, printed materials, or displayed on your website

Use the link for: Emails, website buttons, digital communications, customer management systems

Use the QR code for: Printed forms, office signage, brochures, face-to-face interactions, mobile-friendly materials

Using the Invite Link

You can also embed your invite link on your website to allow customers to self-serve their verification:

As a Button:

  • Create a prominent "Complete Verification" or "Verify Your Identity" button

  • Link the button to your unique VerifiMe URL

  • Place it in your customer onboarding flow or client portal

As a Text Link:

  • Include the link in your onboarding instructions

  • Add it to your FAQ or help section

  • Reference it in customer account dashboards

Note: Your unique link never changes, so you can integrate it once and it will continue to work indefinitely.

Using the QR Code

Downloading the QR Code

  1. Click Download QR code as image in the Management Portal

  2. The QR code will download to your device as an image file

  3. Save it in a location where you can easily access it for various uses

QR Code Use Cases

Printed Materials

Client Onboarding Packs:

  • Include the QR code in welcome letters or onboarding documentation

  • Customers can scan and complete verification immediately

Office Signage:

  • Display the QR code in your reception area or meeting rooms

  • Allows customers to complete verification while on-site

Brochures and Forms:

  • Add the QR code to application forms or information brochures

  • Provides an easy verification pathway for prospective customers

Digital Display

Website:

  • Display the QR code on your website for mobile users

  • Mobile visitors can scan directly from their device's camera app

  • Include a small QR code in email signatures

  • Provides an alternative to clicking links for mobile users

  • Display the QR code in your client dashboard or account area

  • Offers a quick mobile-friendly verification option

QR Code Best Practices

Size and Placement

  • Ensure the QR code is large enough to scan easily (minimum 2cm x 2cm for print)

  • Leave white space around the code to prevent scanning interference

  • Test the QR code after printing to ensure it scans correctly

Instructions

  • Include brief instructions: "Scan this QR code to verify your identity"

  • Consider adding an icon indicating smartphone scanning

  • Provide the text link as a backup option

Quality

  • Use high-resolution images for professional appearance

  • Ensure good contrast between the QR code and background

  • Avoid placing the QR code on textured or patterned surfaces

Managing Customer Invitations

Tracking Invited Customers

Once customers access your invite link or scan your QR code and begin verification:

  • Their verification progress appears in your Management Portal dashboard

  • You'll receive email notifications when verifications are complete (if configured)

  • You can monitor the status of all customer verifications in real-time

Multiple Users Sending Invites

If multiple team members need to invite customers:

  • All team members with Management Portal access can use the same invite link and QR code

  • There's no need for individual invite links per team member

  • The unique link is tied to your organization, not individual users

This simplifies your process and ensures consistency across your team.

Common Questions

How long is the invite link valid?

Your unique invite link and QR code never expire. You can use them indefinitely without needing to generate new ones.

Can I customize the invite link?

The invite link is automatically generated and tied to your Client Account. It cannot be customized, but it remains consistent for all your customer invitations.

What happens after a customer clicks the link?

When a customer clicks your invite link or scans your QR code:

  1. They're directed to the VerifiMe Customer Portal

  2. They see your organization's name and branding

  3. They're guided through the identity verification process

  4. Their verification is automatically linked to your Client Account

  5. You receive notifications when they complete the process (if configured)

What if a customer loses the link?

You can simply send the link again - it's always the same URL. Customers can also return to a partially completed verification using the same link.
