Setting Up a Trust in VerifiMe

This guide walks you through how to create a trust entity in VerifiMe, including how to upload your documents and how to add trustees, UBOs and settlors.

Before You Begin

Have the following ready before starting:

  • A copy of the trust deed

  • An ASIC company extract (if the trustee is a company)

  • Any additional documents required by your service provider (contact your service provider to confirm whether further documentation is needed)


Step 1: Create the Trust Entity

  1. Log in to your VerifiMe portal.

  2. Navigate to the home page by clicking the VerifiMe logo in the top left-hand corner of the screen.

  3. Click Add New Identity on the home page.

  4. Under entity type, select Trust.

  5. Enter the trust details:

    • Full legal name of the trust

    • Trust type (e.g. discretionary, unit, testamentary)

    • Country of establishment

    • ABN/TFN (if applicable)

    • Address

  6. Click Continue.


Step 2: Upload Trust Documentation

After clicking Continue, you will be taken to the Add Documents page.

  1. Click Add Document to open your device's file selector.

  2. Upload the trust deed. Ensure the document is clear, legible, and shows:

    • The full name of the trust

    • The trustee(s)

    • The appointor/settlor (if applicable)

    • The date of execution

  3. Upload any additional documents required by your service provider. Contact your service provider to confirm what these are.

  4. Once all documents have been uploaded, click Continue to proceed to the next page.


Step 3: Add Trustees, UBOs and Settlors

The Associated Parties section will be displayed at the top of the page. It contains three sections: Trustee, Beneficial Owner and Settlor. Contact your service provider to confirm which sections need to be completed.

The process for adding a party is similar across all three sections. Under the relevant section, select Add New and choose from the following options:

  • Select from my identities, or previously entered identities β€” a dropdown menu will appear allowing you to select from individuals already associated with a beneficial owner or other entity previously entered in your account. For the Trustee section, companies previously entered in your account will also be available to select.

  • Add a new individual β€” complete the individual's details to create a new identity.

  • Add a new company β€” to create a new company entity, complete the company details (available for Trustee only):

    • Full legal company name

    • ACN

    • Registered address

Note: Beneficial owners and settlors must be individuals β€” a company cannot be added in these sections.

Once all required sections have been completed, click Continue to save.


Step 4: Validate the Corporate Trustee Company

If a new company was created as the corporate trustee in Step 3, you will need to return to the company record to complete its validation once the trust setup is finished.

  1. Navigate to the home page by clicking the VerifiMe logo in the top left-hand corner of the screen.

  2. The corporate trustee company will appear as a Private Company on the home screen. Select it from there.

  3. Navigate to the Documents tab.

  4. Upload any additional documents required by your service provider. Contact your service provider to confirm what is required.

  5. Navigate to Associated Parties and add and verify the required directors and ultimate beneficial owners (UBOs). Contact your service provider to confirm how many directors and beneficial owners need to be identified.

  6. Click Save.


Step 5: Review and Submit for Verification

  1. Return to the trust record and review all details and uploaded documents.

  2. Confirm that all associated parties have been added correctly by reviewing the details entered for each party.

  3. Once complete, the record will be ready for review by your service provider or submitted through your configured workflow.
