What you'll need
Before you begin, make sure you have:
The full legal names of all UBOs and Directors
Their email addresses
Their dates of birth
Their residential addresses
Understanding UBOs and Directors
Ultimate Beneficial Owners (UBOs) are individuals who ultimately own or control 25% or more of the entity, or who otherwise exercise control over the entity's management.
Directors are individuals formally appointed to the board of directors and registered with ASIC.
How to add UBOs and Directors
Step 1: Access your entity
Log in to your VerifiMe account
Navigate to the entity you want to add individuals to
Click on the entity to open it
Follow the pages and confirm all the details shown, selecting Continue as you go through until you reach the Add Associated Parties page
Step 2: Choose how to add associated parties
On the Add Associated Parties page, you have two options:
Option 1: Let us review and request information
Select Continue to allow our team to review your entity documentation
We'll contact you requesting details about the UBOs and Directors that need to be added
You can add them later when we reach out
Option 2: Add associated parties now
Select Add Associated Parties to add UBOs and Directors immediately
This allows you to complete the verification process faster
Step 3: Select the individual type
If you chose Option 2 (Add associated parties now):
You'll see separate sections with subheadings:
Directors
Shareholders/UBOs
Trustees
Click the Add New button under the relevant section for the type of individual you want to add.
Step 4: Enter individual details
After clicking "Add New":
For Directors:
Enter the individual's details including their email address
If the email address matches an existing verified wallet, that individual will be automatically added
If it's a new email address, an individual profile will be created that requires ID verification before the entity can be verified
For Shareholders/UBOs: You have two options when clicking Add New:
Enter new individual details - Similar to adding Directors, enter their information including email address
Select from existing Directors - If the person is already listed as a Director, you can select them from the list
Required information includes:
Full legal name (as it appears on their ID)
Email address
Date of birth
Residential address (not a PO Box)
Step 5: Complete ID verification
For individuals who haven't previously verified their identity:
The Director or UBO will need to:
Log in to their individual ID wallet using the email address provided
Complete the individual ID verification requirements
Upload their identification documents
This step is only required for individuals who have not previously supplied documentation through VerifiMe.

Step 6: Review and submit
Review all entered information for accuracy
Click Continue
On the next page, click Submit and Share
The individuals you've added will appear in your entity
Important: You can proceed through this stage without having all Directors or UBOs verified. However, your entity will not be completely verified and your service provider will not be able to proceed with their service until all Directors and UBOs have completed their identity verification.
After submission
Once you click Submit and Share, your entity will be sent through for review and you will not be able to make further alterations at this time.
If any additional details or documents are required for your entity, you will receive an email with a link that allows you to log in and make the necessary amendments.
Verification status
Once added, each individual's verification status will be displayed:
Verified ✓ - Identity successfully confirmed
Pending - Verification in progress
Action Required - Additional information needed
Need to update or remove an individual?
To remove or update Directors or UBOs after submission, please contact our support team for assistance. You will need to provide the email address of the individual being updated or added.
Note: If a new individual is added during updates, they will need to complete their identity verification before the entity can be fully verified.
